Live Scheduling Assistant

At Ai-Media we create ground-breaking and innovative products to provide access to millions of people all over the world.

We are now seeking a new Live Scheduling Assistant to support the administrative function of the live scheduling department. 


From live sport and news to your favourite TV shows, we deliver live and closed captioning for customers such as Channel Nine, Channel Seven, Facebook, the United Nations, Foxtel and BBC. 

We also provide captioning services to people at university, work, conferences and events who without our captions would be excluded from the content in its entirety.

Reporting to the Live Scheduling Manager, you will be responsible for supporting the creation, management and distribution of live captioning schedules for both broadcast and non-broadcast clients globally.


As the first point of contact for captioners you should be an excellent communicator, both written and oral, with the ability to make last minute changes to schedules in order to adapt them to changing client demands. 

Time management skills are also crucial for this role, alongside the ability to work well under pressure and meet strict deadlines.

This role is based at our office in Frenchs Forest.

 Key Responsibilities:
  • Create manage and distribute captioning schedules for all live broadcast and non-broadcast clients
  • Ensure you remain up to date with upcoming programming and changes for broadcast channels
  • Ensure any changes to schedules are made in a timely manner in order to allow Ai-Media to maintain delivery of captions at all times
  • Liaise with non-broadcast clients to understand captioning requirements
  • Coordinate and monitor Ai-Live Captioning sessions, including conducting audio line checks and basic technical troubleshooting
  • Review and implement improvements in the operational systems, processes and policies in support of the key business objectives and deliverables
  • Assist with administrative work, payroll, and other relevant tasks as required.
Key Skills Required:
  • Advanced Microsoft Word and Excel skills
  • Ability to work under pressure & strict deadlines
  • Exceptional attention to detail
  • Able to problem solve, research & troubleshoot independently
